Administrative Assistant – Part Time
Position Overview: The role of an Administrative Assistant is to assist overall execution of the classes scheduled over the weekend for the students of Hybrid Program. Position requires presence on GIM campus over the weekend (Friday - Sunday).
Reporting to Chair of the Hybrid Program and Operational reporting to the Registrar
Key Responsibilities:
Coordination of Campus Activities
- Manage and oversee the smooth execution of campus activities on weekends, ensuring that classes are effectively coordinated.
- Interface with the Library, IT and other departments.
- Reserve classrooms and set up equipment.
Scheduling & Communication with Class Representatives
- Plan, schedule, and lead weekly and monthly calls with class representatives to discuss progress, concerns, and updates relevant to the students.
Proctoring Online Exams
- Monitor online exams to ensure proper conduct, adherence to guidelines, and resolve any issues during the examination process.
Tracking LMS Usage
- Organize workshops, training programs, and policy dialogues for diverse stakeholders.
- Design and implement community outreach programs for grassroots engagement.
- Develop and disseminate knowledge products to enhance public policy awareness.
Operational and Administrative Management
- Oversee daily operations, ensuring adherence to institutional guidelines.
- Plan and manage events such as seminars, conferences, meetings, visits, roundtables and any other such activities as recommended from time to time.
- Maintain accurate documentation and records for all activities. Ensure the documents are available in the digital formats.
Financial and Resource Management
- Regularly monitor student engagement and participation within the Learning Management System (LMS) to ensure that students are actively using the platform for course materials.
Flagging Student Concerns
- Proactively identify and report student concerns or issues during classes, flagging them to the SRM/PGDM Hybrid Program Office for timely resolution

Campus Activity Coordination Efficiency
- Timeliness and smooth execution of campus activities, with minimal disruptions and positive feedback from participants (measured through surveys or feedback from students and faculty).
Class Representative Communication
- Successful completion of scheduled weekly/monthly calls with class representatives, ensuring that 100% of identified issues are addressed and tracked until resolution.
Online Exam Proctoring
- Number of successfully proctored exams with minimal incidents or violations, ensuring adherence to guidelines.
LMS Engagement Monitoring
- Maintain or increase student LMS usage to a target threshold (e.g., 90% of students actively engage weekly), and identify any students falling behind in usage or engagement for follow-up.

Educational Qualification

The Manager of the Centre for Public Policy & Governance (CPPG) will play a pivotal role in driving the Centre’s strategic vision and initiatives. Key Responsibilities:
Stakeholder Coordination and Engagement
- Foster relationships with statutory bodies, state governments, and municipal authorities.

Manager – Information Technology
Position Overview
This role involves maintaining ERP and LMS systems, managing IT staff, and taking responsibility for critical projects and solutions. The ideal candidate will have extensive knowledge of network maintenance, systems administration, and emerging technologies, along with strong managerial skills. Additionally, the IT Manager will manage hardware and software inventories and build long-term relationships with external vendors to ensure seamless IT operations and continuous improvements.

She/he will report to a faculty member at the level of Assistant, Associate Professor or Professor.
Key Responsibilities:
Maintenance of Records & necessary correspondence
- Maintain confidential faculty personnel records, files, student feedback, marksheets and grades.
- Compose correspondence, reports, and/or letters.
Offer Administrative support
- Provide administrative support for the faculty member(s) such as responding to queries in person and on call, directing visitors, routing mail, etc.
- Provide ready access to all relevant information and data to faculty researcher.
- Performs miscellaneous job-related duties as assigned.
- Assist with preparation of all educational, training workshops and management development programme.
Creation & Maintenance of data
- Maintain faculty databases, conduct research, compile statistics, gather and compute various data; prepare special reports, summaries, etc.
- Review and edit data to ensure completeness and accuracy of information.
- Prepare, maintain and update website materials
Effective Interdepartmental Coordination
- Interface with the Library, IT and other departments.
- Reserve classrooms and set up equipment.
- Invigilation Duties & Student Assignments
- Invigilate quizzes and examinations and assist faculty member in the assessment of student knowledge.
- Collect student assignments.

Accuracy of records and timeliness
- Records like faculty personnel, student feedback, grades, etc. are updated and maintained on time and without errors.
- Administrative Support Efficiency
- Efficiently respond to faculty and student queries (in person, on call, via email) in minimum time.
- Number of administrative tasks completed with expected quality within set timelines.
Data Integrity and Reporting
- Accuracy of data entry and reports (e.g., faculty databases, research data, website updates).
- Number of reports completed and submitted on time.
- Interdepartmental Coordination Effectiveness
- Effectively collaborate with departments (Library, IT, etc.) and timely classroom reservations and equipment setup.
Examination and Assignment Handling
- Number of quizzes and exams invigilated without escalations.
- Timeliness and accuracy of assignment collection and faculty support for student assessment.

Educational Qualification
- Graduation / Master’s Degree Qualification
Experience
- Minimum 2 years of work experience preferably in an academic institution
Skills
- Proficiency in Computer Applications.
- Complete knowledge of MS Office is necessary
- Good written and verbal communication skills in English and good Interpersonal skills
- Ability to multi-task

Key Responsibilities:
- Event Coverage: Capture video footage and pictures of major events such as convocations, cultural festivals, guest lectures, workshops, and other campus activities.
- Marketing Campaigns: Collaborate with the marketing team to create engaging video content for promotional campaigns, including admissions videos, student testimonials, etc.
- Post-Production: Edit and produce high-quality videos that effectively communicate the intended message and adhere to GIM’s branding guidelines.
- Equipment Management: Maintain and manage video equipment, ensuring all gear is in good working condition and ready for use.
- Storytelling: Develop compelling narratives that resonate with target audiences and enhance GIM’s brand image.

- Social Media: Create short videos optimized for social media platforms

Qualifications:
- Education: Bachelor’s degree with Diploma in Film Production/Cinematography/ Multimedia/ or a related field.
- Experience: Minimum of 2 years of experience in video production, preferably in an educational or corporate setting.
Skills:
- Proficiency in video editing software such as Adobe Premiere Pro, Final Cut Pro, or similar.
- Strong understanding of cinematography principles, lighting, and audio recording.
- Creative storytelling and visual composition skills
Attributes:
- Attention to detail and a keen eye for visual aesthetics.
- Ability to work independently as well as part of a team.
- Flexibility to work irregular hours, including evenings and weekends, as needed.
Experience:
Minimum of 2 years of experience in video production, preferably in an educational or corporate setting.
